Executive Assistant
The Executive Assistant role will provide executive support while working one on one with the CEO and also serve as liaison and additional means of contact for management and team of directors. This role reports to the Chief of Human Resources.
- Maintains CEO’s schedule and provides complex travel arrangements.
- Becomes familiar with the specific and detailed needs of the CEO.
- Manages multifaceted projects on behalf of CEO.
- Delegates tasks to other administrative support staff as needed to complete projects for CEO.
- Gathers and analyzes clinic data per request of CEO.
- Communicates directly with internal and external contacts on behalf of the CEO.
- Takes notes and distributes meeting minutes, agendas and meeting materials.
- Works closely and effectively with the CEO to keep him well informed of upcoming commitments. and responsibilities such as meetings and other obligations.
- Acts proactively to be sure CEO is prepared for all meetings and engagements.
- Manages emails at discretion of CEO.
- Provides follow up information and reminders for CEO.
- Maintains confidentiality and uses a high degree of discretion.
- Demonstrates the ability to anticipate needs, think critically and offer solutions to problems.
- Respectfully takes direction from CEO.
Essential Functions
- Bachelor's Degree required.
- 2 years of related payroll, benefits, and/or HR experience.
- Experience processing complex company payroll.
- Benefits administration experience, preferred.
- Experience with HRIS systems, UKGReady experience, preferred.
- Excellent multi-tasking and time management skills.
- Great attention to detail and organizational skills.
- Ability to work independently and within a team.
- Excellent written and verbal communication skills.
- Ability to prioritize and multi-task duties and projects in a fast-paced environment.
- Proficient with Microsoft Office (Excel and Word are a must).
- Proficient with Quickbooks, preferred.
