Administrative Assitant

The Administrative Assistant will support the daily operations of the clinic by providing administrative support, facilitating communication between internal and external contacts, and assisting with staffing needs across various roles. This position plays a key role in clinic operations and supports clinic management in the overall functioning of the clinic.

Schedule

Monday to Friday, 8:00am to 4:30 pm. No late nights or weekends.

Essential Functions

  • Provide administrative support to clinic management and staff, including scheduling meetings, managing correspondence, and maintaining records.
  • Assist with communication between the clinic and external contacts such as patients, vendors, and other healthcare organizations.
  • Coordinate with internal clinic staff to ensure effective communication and workflow within the clinic.
  • Fill in as needed in various clinic positions, including front desk, and other support roles during staff shortages.
  • Assist in organizing clinic events, training sessions, and staff meetings.
  • Help manage clinic supply inventory and ordering.
  • Help maintain compliance with clinic policies and regulations.

Job Experience

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Work, Excel, Outlook) and Electronic health record (EHR) systems.
  • Previous experience in a medical office environment preferred.
  • CNA / CMA certification or relevant experience a plus.
  • Ability to adapt to changing clinic needs and support a variety of roles.
