Receptionist

The Receptionist serves as the first point of contact for patients and other on-site visitors, providing customer service and administrative support to ensure the efficient operation of the clinic. This position is responsible for answering phones and performing other administrative tasks to ensure the efficient operation of the clinic.

 

  • Welcome patients and other on-site visitors with a warm and friendly demeanor, demonstrating professionalism and empathy in all interactions.
  • Answer incoming calls, screen and route calls appropriately, and respond to inquiries from patients, family members, and referring physicians in a timely and courteous manner.
  • Schedule patient appointments, tests, and procedures, coordinating with providers and other staff to ensure accurate scheduling and efficient use of clinic resources.
  • Schedules radiology and other outpatient tests at ordered facility and communicates with patient regarding the date and time of test and obtaining referrals if necessary.
  • Verify patient demographic and insurance information, collect co-payments and outstanding balances, and process payments accurately using electronic billing and payment systems.
  • Register new patients and obtain necessary forms and consents and verifying paperwork when received.
  • Receives, sorts, and routes mail.
  • Maintain patient records and electronic medical records (EMR) systems, ensuring accuracy, completeness, and compliance with privacy and confidentiality standards.
  • Prepare and maintain patient charts, files, and obtain records from referring physician, organizing document and information in accordance with clinic policies and procedures.
  • Coordinate referrals and medical records requests, communicating with external healthcare providers, insurance companies, and other entities to facilitate continuity of care.
  • Assist with administrative tasks, such as faxing, scanning, copying, and filing documents, as well as ordering office and medical supplies to support clinic operations.
  • Collaborate with team members to address patient needs, resolve issues, and ensure a positive patient experience.
  • Other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Previous experience as a medical receptionist or in a healthcare setting preferred.
  • Proficiency in computer skills, including electronic medical records (EMR) systems, Microsoft Office, and appointment scheduling software.
  • Strong interpersonal and communication skills, with the ability to interact effectively with patients, families, and healthcare team members.
  • Ability to prioritize tasks, manage multiple responsibilities, and work effectively in a fast-paced environment.
  • Commitment to providing compassionate, patient-centered care and maintaining patient confidentiality and privacy.
